POSITION SUMMARY: Assists with the administrative functions of the Sales Department, to include Territory Sales, Multi-Unit Sales, Business Development, Business Resources and Customer Service. Performs administrative duties while making productive contributions to ongoing projects and business functions with expertise in software skills, organizational skills and time management skills. Coordinates activities as assigned while maintaining a high level of security and confidentiality. RESPONSIBILITIES: + Review and distribute incoming mail, email and fax correspondence to appropriate personnel. + Follow up on customer requests. + Coordinate and communicate activities between different departments to ensure efficient service to the customer and Contract Compliance. + Perform tracking of sales and vendor data from Data Processing for Account Executives and reporting purposes. + Maintain, update and distribute customer sales reports, vendor reports and monthly pricing. + Dispense corporate data as needed. + Develop and maintain procedures and files for order guide, customer correspondence files, etc. + Compose correspondence in a variety of formats from verbal instructions and/or written notes and/or drafts. + Learn contractual pricing form various accounts and be able to add and remove items from the bid and/or price rule. + Establish, maintain and assist with order guides and bid pricing. + Set up and monitor customer pricing contracts and rebates and update as necessary. + Perform all duties in accordance with accepted current standards and will perform other duties as deemed necessary by supervisors and managers to meet departmental and Company objectives. + Build a strong relationship of trust with customers. + Writing up vendor agreements for program and street sales. QUALIFICATIONS: Basic Qualifications: + High school diploma or General Education Development (GED) or equivalent + 2 years' related administrative experience providing support to an executive level supervisor Preferred Qualifications: + College degree Professional Skills: + Strong computer skills with intermediate to advanced knowledge of Microsoft Word, Excel, PowerPoint and Outlook. + Able to type a minimum of 50-wpm accurately. + Must possess strong interpersonal skills; able to communicate effectively with all levels of employees and management; remain poised, professional and diplomatic under pressure. + Must have the ability to be detail-oriented and balance multiple projects simultaneously in a fast-paced environment. + Have a demonstrated ability to plan and organize work activities; analyze and disseminate forms; manage work time efficiently; follow procedures and policies; identify and solve problems; maintain a file system to include alphabetical, numerical, and chronological filing activities. + Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. + Must be able to proofread and make appropriate spelling and grammar corrections to documents written in English. + Must provide enthusiasm and creativity in problem solving, along with flexibility and a desire to learn. + Must be able to handle confidential information with integrity and discretion.
